Registration open for the symposium on Authors and Rights in Publishing

On February 18, 2025, Utrecht University and Leiden University will organize a free symposium on publishing and copyright, titled Authors and Rights in Publishing: Perspectives on Contracts, Licenses, Rights Retention, AI, and TDM, held at the Utrecht University Library (Science Park)

The event will cover the legal and practical aspects of scholarly communication—encompassing contracts, copyright, licenses, rights retention, text and data mining (TDM), and related areas. These topics are often perceived as inaccessible and laden with jargon, hindering collective discussions and coordinated actions. Despite the fact that all Dutch universities are well-resourced with experts working in specialized areas, there is significant potential for progress through the sharing of our respective expertise. By pooling our knowledge and collaborating more effectively, we aim to demystify persisting legal complexities and equip research support professionals to enhance research more effectively, improve policies, and strongly advocate the rights and needs of researchers and institutions alike. In doing so, we also intend to work towards creating and sharing practical resources on these topics.

Topics range from author agreements, licenses, rights retention, TDM, AI and copyright in scholarly communication, zooming into the practicalities while also taking a bird’s eye view on the issues. While it is targeted toward librarians and support staff in Dutch research universities, we also welcome individuals and organisations with an interest in these topics. 

The programme will consist of plenary as well as parallel sessions. This is a joint effort by Utrecht University Library (Jeroen Bosman, Rashmi Shetty, Hanna de Vries) and Leiden University Library (Heleen Palmen and Erna Sattler). For questions and suggestions, please contact Rashmi Shetty.

    1. Licenses to Publish and Author Agreements. An open discussion on the key elements of good and bad author contracts, identifying fair terms and problematic clauses, and how to empower authors to negotiate by Jeroen Sondervan (NWO, Open Science NL), also featuring representatives from Netherlands University Presses.
    2. Acquiring information on Publisher Policies and Practices. Play along with a demonstration of ~10 tools, sites and registries, by Bianca Kramer (Sesame Open Science) & Jeroen Bosman (Utrecht University)
    3. Consortium Agreement Negotiations: Copyright, licenses, and rights of use in read & publish deals with big publishers, by Arjan Schalken (UKBsis) & Oncko Heldring (SURF)
    4. AI and TDM in Publishing A discussion with Brigitte Vezina (Creative Commons), Maarten Zeinstra (KVAN) and Briar May (Cambridge University Press) on the (im)possibility of keeping scholarly work out of the hands of commercial AI companies without hampering text mining-based research.
